Bill Book Sathi is a free, cloud-based billing and invoice management platform built for Indian small and medium businesses. It supports three types of businesses - Product, Taxi, and Construction Material - each with its own dedicated billing features. You can create GST-compliant invoices, taxi trip bills, and construction chalans, manage multiple companies, and download professional PDF bills, all from one account.
Q2 Who is Bill Book Sathi designed for?

Bill Book Sathi is built for:

  • Product businesses - retailers, wholesalers, traders, and manufacturers who need item-wise GST invoicing.
  • Taxi operators - cab services, transport agencies, and vehicle fleet owners who need clean trip-based billing.
  • Construction material businesses - material suppliers, hardware dealers, site contractors, and builders managing daily deliveries and chalans.

Q3 Is Bill Book Sathi really free to use?
Yes! You can create an account, set up your company, and start generating bills without entering any payment information. A free plan is available with core billing features. If you need advanced features or higher limits, paid upgrade options will be available. You will never be charged without your knowledge or consent.
Q4 Do I need to install anything to use Bill Book Sathi?
No. Bill Book Sathi is fully cloud-based. It works directly in your web browser on any laptop, desktop, or smartphone without any installation, download, or setup required. As long as you have an internet connection and a browser, you are ready to go.
Q5 How do I create my account?

Creating an account takes less than a minute:

  1. Go to billbooksathi.com and click Get Started
  2. Enter your full name, email address, and password
  3. Your account is created - no email verification delays, no credit card required
  4. Next, create your first company and you are ready to start billing
Q6 How long does it take to create my first bill?
From the moment you sign up, most users generate their first bill in under 5 minutes. Setting up a company takes about 1 minute, adding a product or party takes another minute, and generating a PDF bill is instant once your details are in.
Q7 Can I use Bill Book Sathi on my mobile phone?
Yes. Bill Book Sathi works on any smartphone browser like Chrome or Safari. Simply visit billbooksathi.com on your phone and log in. A dedicated mobile app is on our development roadmap and will be announced when available.

Company Types & Setup

Q8 What types of companies can I create on Bill Book Sathi?

When you create a company, you choose one of three types:

  • Product Company - GST invoices with item-wise billing, CGST/SGST/IGST auto-calculation, and category management
  • Taxi Company - Trip-based billing with vehicle, driver, and route details
  • Construction Material Company - Material bills, GST bills, and daily delivery chalans

Each company type has its own tailored dashboard - so you only see what is relevant to your business.

Q9 Can I manage more than one company on the same account?
Yes. You can create multiple companies under a single Bill Book Sathi account. Each company is completely independent with its own bills, parties, products, and settings. Switch between companies at any time from your dashboard without logging out or losing any data.
Q10 Can I have different types of companies in the same account?
Yes. For example, you can have a Product company and a Taxi company active under the same account. Each will have its own separate billing tools and data. This makes Bill Book Sathi ideal for business owners who run more than one type of business.
Q11 What information do I need to set up a company?

To create a company profile, you will need:

  • Company name and business address
  • GSTIN (if GST-registered)
  • Company logo (optional - appears on all bills)
  • State (used for automatic CGST/SGST vs IGST calculation)

Setup is designed to be simple and takes under a minute.

Q12 Can I add my company logo to bills?
Yes. You can upload your company logo during or after company setup. Once uploaded, it will appear on every bill and PDF document generated for that company, giving your invoices a professional, branded look.
Q13 Can I edit my company details after setting it up?
Yes. You can update your company name, address, GSTIN, logo, and other details at any time from your company settings. Changes will reflect on all new bills generated going forward.

Product Billing & GST Invoices

Q14 How does GST calculation work on Bill Book Sathi?

Bill Book Sathi automatically determines the correct GST type based on the state of the seller (your company) and the buyer (your party):

  • Same State - CGST + SGST (intra-state)
  • Different State - IGST (inter-state)

You simply enter GSTINs for your company and party, and the platform handles the rest.

Q15 Can I set different GST rates for different products?
Yes. When adding products to your catalogue, you can assign individual GST rates to each item - such as 0%, 5%, 12%, 18%, or 28% - depending on the HSN code and applicable tax slab. The correct tax amount is auto-calculated on every bill.
Q16 Are the GST bills generated by Bill Book Sathi legally valid?
Bills include all standard fields required under the CGST Act - invoice number, date, supplier and recipient GSTIN, HSN/SAC codes, taxable value, GST rate, and tax breakdown (CGST/SGST or IGST). We strongly recommend consulting your Chartered Accountant (CA) to confirm compliance for your specific business.
Q17 Can I create bills for customers without a GSTIN?
Yes. You can create bills for unregistered buyers (B2C transactions) without requiring a GSTIN for the party. GST calculation will still apply based on the tax rate assigned to the product.
Q18 How do I manage my product catalogue?
In a Product company, you can add products with name, category, unit, price, and GST rate. Products are saved to your catalogue and can be selected quickly when creating any bill - no need to re-enter details every time.
Q19 Can I manage customer and supplier records (parties)?
Yes. Bill Book Sathi includes Party Management where you can store customers and suppliers including name, address, GSTIN, and contact number. When creating a bill, simply select the party from your saved list.

Taxi Billing

Q20 What features are available for taxi businesses?

The Taxi company type includes:

  • Trip bill generation with From/To location, distance, and fare details
  • Driver and vehicle management
  • Professional trip bill format
  • Instant PDF download for every trip bill
  • Organized record of all trips and bills by date
Q21 Can I add multiple drivers and vehicles to a Taxi company?
Yes. You can register multiple drivers and vehicles under your Taxi company. When generating a trip bill, select the relevant driver and vehicle - their details are auto-populated on the bill.
Q22 Is the taxi bill format GST-compliant?
Taxi trip bills include necessary trip and fare details. Whether your taxi service must charge GST depends on your turnover and registration status. Consult your CA if you need a GST-compliant tax invoice for transport services.

Construction Material Billing & Chalans

Q23 What can I do with a Construction Material company?
  • Material Bills - Standard bills for materials supplied
  • Material GST Bills - GST-compliant invoices for material sales
  • Daily Chalans - Delivery records for every site or vehicle trip
  • Vehicle & Material Management - Catalogue and tracking
  • Party Management - Site owners, contractors, and clients
  • PDF Export - Download any bill or chalan as a clean PDF
Q24 What is a Daily Chalan and how does it work?
A Daily Chalan is a delivery receipt issued when materials are transported to a site or customer, typically used in construction and material supply businesses. On Bill Book Sathi, generate a Daily Chalan by selecting vehicle, materials, party, and delivery date. Each chalan is saved against the party record and can be downloaded as PDF or referenced when creating the final GST bill.
Q25 Can I generate a GST bill from multiple chalans?
This feature is on our product roadmap. Currently, you can generate individual Material Bills and Material GST Bills for parties. We recommend using chalans as daily delivery records and creating a consolidated GST bill at the end of the billing cycle.

Account, Data & Security

Q26 Is my business data safe on Bill Book Sathi?

Yes. We take data security seriously:

  • HTTPS / TLS encryption on every page
  • AES-256 encryption at rest
  • Daily automated backups with 30-day retention
  • Isolated company data - no other user can access your records
  • No third-party data selling - your data is yours
Q27 Can I delete my account and data?
Yes. To delete your account or request removal of your data, contact our support team at support@billbooksathi.com. We will process your request in accordance with our Privacy Policy.
Q28 What happens to my data if I stop using Bill Book Sathi?
Your data remains stored on our servers as long as your account is active. If you delete your account, your data will be removed. We recommend downloading all important bills as PDFs before closing your account.
Q29 Can I change my account email or password?
Yes. You can update your password from the account settings page. For email changes, contact our support team and we will assist you with the update.
Q30 I forgot my password. What do I do?
On the login page, click Forgot Password? and enter your registered email address. You will receive a password reset link in your inbox. If you do not receive the email within a few minutes, check your spam folder or contact support.
